As your VoIPinclusive numbers and services are hosted, they are completely portable. If you ever want to move offices it’s easy to do so and your service will not be affected.

Free Numbers and Services

When you become a VoIPinclusive client you get a free number and access to a range of simple yet sophisticated phone services. You can choose either an 01, 02 or 03 number (0300 or 0333) for free, or any other number type if you’d prefer. For example, you might choose an 0800 number for a small additional cost, or maybe an 0844 where you receive 2p /min every time someone calls you.

We can also set up a free 0844 number for you with a fax-to-email service attached if you need it. With this you can receive faxes without a machine and have them automatically sent to your email address as a pdf attachment.

No Equipment to Buy or Maintain

When you become a VoIPinclusive client there’s no expensive equipment to buy. We set up a hosted pbx switchboard for you and supply you with all the routers, base stations and phones you need, all included in your monthly rate.

There are no expensive maintenance or costly repairs to worry about either. We look after everything for you!

Free Support and Installation

As a VoIPinclusive customer we take care of you every step of the way. Before you even sign up we’ll answer all your questions and talk to you to make sure our service is the best solution for you. We’ll check your connection is suitable for the VoIP system and help you design the perfect phone system for your unique needs.

When it comes time to install your system we visit your site and do it for you. We also show you how everything works (don’t worry, it’s very straightforward) so you know what to do at other offices or for staff who work from home. We’ll also make sure you understand your online control panel and how to change your services if you need to.

After installation and set-up we’re still only a phone call away. We don’t charge for support and we’re always happy to answer your questions, no matter what the issue.

Built-In Disaster Recovery / Business Continuity Protection

One of the big benefits of using a hosted telephone service is that you are automatically protected should your premises by affected by a disaster, such as a fire, flood or storm damage.

Whereas traditional physical lines and pbx’s are vulnerable to local damage, your hosted service is not. Should you ever not be able to work from your regular premises, you can simply log in to your online dashboard and divert all your calls to other landline or mobile numbers. You can also set up recorded messages to inform staff and customers of the latest news, or send out bulk SMS text messages to let them know where to go or what to do whilst the problem is being fixed.

What’s Included?

VoIPinclusive is the simple way to fix your phone charges whilst still benefiting from a fully featured phone system.

Here’s what’s included in the package:

Your Calls

All calls to UK landlines and mobiles up to 30 minutes in duration are included in your monthly package. International calls to 100+ countries are also included (up to 30 mins duration).

The exceptions to this are calls to 07 personal numbers, 08 local and national rate numbers (e.g. 0845, 0870), and 09 premium rate numbers, which are charged at the rates shown on this page.

We operate a fair usage policy, designed to protect us from abuse. Most regular businesses will never have an issue with this. The fair usage policy is in place to stop very high usage businesses, such as call centres, taking advantage of the low rates by using the service non-stop for hours every day.

If you run a call centre or similar, we can still help you by putting together a different package – please give us a call to discuss your requirements.

All Equipment & Hosted PBX

Gigaset A510H Handset. There’s no need for you to buy an expensive pbx and handsets as we supply all your equipment included as part of your monthly payment.

We provide the phones, a router and the required number of base stations.

Gigaset N300 IP Base Station. In addition, we provide you with a fully featured hosted switchboard. This is an easy to use virtual pbx you can use to manage all your numbers, extensions and services. From a few simple voicemail boxes, to a complex phone menu system with hunt groups and time of day services, you can use your virtual switchboard to create your perfect phone system.

Here are just some of the features of our virtual switchboard:

Hosted Phone Numbers

When you sign up with VoIPinclusive, we’ll give you one main number, plus up to nine additional direct dial numbers if you want them.

Your main number can be a regional number (01 or 02) or a non-geographic 03 number if you prefer.

Alternatively, you could choose from any number range we carry. For example, you may select a number from the 0844 number range, thus allowing you to earn 2p/min every time someone calls you.

Or you may decide to pay a little extra to set up an 0800 number and offer your customers the chance to call you for free.

We’re happy to advise on the range of numbers available and the best options for you.  

Also included in the price are:

  1. A dedicated private conference call number allowing up to 10 people per conference
  2. A dedicated 0844 number with a Fax-to-Email service so you can receive faxes.
  3. Up to 10 additional regional numbers for advertising purposes

Want to use your existing number? If you’d rather keep your existing number that’s fine too – you can either forward your calls on to our services, or else port in up to 5 numbers from BT for only £15/month.

Broadband

As part of the package we install a dedicated broadband IP connection for your VoIP service.

This includes a managed router and switch to connect your IP phones to the internet, all included in your monthly payment. Before starting your service we run a check to make sure you have suitable internet bandwidth in your area to handle VoIP on your line.

Installation

We will install your system at one of your sites included in your set up fee.

If you have more than one site, we’ll provide full training and show you everything you need to know to get set up at your other locations too. Alternatively we can set up the service at your other sites for an additional fee.

Support

Full support is included. We’re always at the end of the phone if you need us. We don’t charge for support and we don’t make you call a premium line to reach us.

Online Management Portal

Our flexible and secure online management control panel gives you full control over your telephone system. Once logged in, you can change many aspects of this system with a click of a mouse.

What’s NOT Included?

So now we know what is covered, let’s go through what isn’t:

Calls to 070, 08, 09 numbers

There are additional charges for all calls made to local and national rate numbers (e.g. 0845, 0870), 070 personal numbers (note – these are not mobile numbers, which are covered) and 090 premium rate numbers.

Some international numbers

Although most international calls are free, some may not be included. You can find more details on our site.

Calls over 30 minutes in length.

All calls under 30 minutes duration are free, but if you go over this you will be charged from that point on. Of course, you could always hang up and then call back straight away.

Number porting

For £15/month you can port in up to 5 numbers from BT and use them with your VoIP service.

IP Telephony or VoIP (Voice over IP) can be confusing. Here are the answers to the most common questions we get asked.

The most common questions are listed below:

What telephone equipment do I need?

You will require some type of VOIP IP telephony device. This may come in the form of:

  1. VOIP IP or SIP Telephone. This is like a normal phone except that it communicates using an IP connection. These phones plug straight into your router, LAN or LAN hub. You do not need to have your PC on for the VoIP phone to work.Voip IP or SIP Telephone
  2. Softphone. This is an application that runs on your PC and uses your PC's soundcard and microphone for telephone conversations.VoIP Softphone
  3. Analogue Telephone Adaptor (ATA). This device converts analogue traffic from your analogue (normal BT type phone) into IP traffic. This device is similar to a VoIP Gateway device except, depending upon the model chosen, it is designed to connect single or multiple analogue phones.Analogue Telephone Adaptor (ATA)
  4. VoIP Gateway. This device converts analogue traffic from your analogue phones into VoIP traffic. They are usually referred to as FXS (Foreign Exchange Station) devices.

What type of Internet connection do I need?

Ideally, you should have a broadband connection with an absolute minimum speed of 128 kpbs. If you live in an area with a poor internet connection then VoIP may not be the best option for you. Please contact us and we'll be happy to check for you and recommend the best option.

You need to ensure you have enough capacity to handle calls for every user with a VoIP device. If you have a fast connection there's no reason why several users can't all route their calls over the same connection.

If a few people are using VoIP we usually recommend an additional broadband connection dedicated to VoIP. This ensures high call quality and prevents other internet use from interfering with the VoIP system.

There are various reasons for requiring a fast and reliable internet connection:

  1. You need at least 64 kbps download plus 64 kbps upload bandwidth to make an uncompressed VoIP call. Otherwise you will need to compress your VoIP traffic using compression “codecs” such as G.723 or G.729 which can decrease the bandwidth to approximately 20 kbps. However, such methods of compression are usually used in situations where multiple calls are going over the same connection, not when bandwidth is restricted to under 128 kbps. If you have dial-up you will be very fortunate to achieve decent call quality, even when using compression.
  2. A broadband connection is usually 'always-on' thereby ensuring that you can receive and make calls with minimum interruption.
  3. Depending on how you use your Internet connection, you want to make sure that you have enough bandwidth leftover for typical Internet traffic (eg emails, web browsing, file downloads)

When using a broadband connection, you automatically have an emergency fallback should you have any issues with your ISP or internet connection. Should your internet connection fail, calls can automatically be routed by the Callagenix service to your standard PSTN (BT phone line).

For larger users (50 phones and above) you may need to consider a private dedicated DSL connection. Although these connections are more expensive than ADSL broadband, you can achieve speeds of up to 100Mb. For more information on this please call us.

How do I set-up a VoIP number?

Assuming that you have met all the requirements listed above, please follow the three steps outlined below.

Step 1. Request IP telephony for your account.

Login to your Callagenix account and click on the IP telephony link and tell us what internet connection, router and IP telephone or software you have. Once completed, our support department will enable your account and send a confirmation request.

Step 2. Confirm IP telephony required.

Once you respond to the confirmation email we will complete the activation process and then you can start setting up your IP telephone devices (hardware or software).

Step 3. Setup an IP telephone device (get a number)

This is the final step. Your confirmation email from Step 2, will contain the following instructions: 

  1. Login to your account.
  2. Select the IP telephony link from the left hand menu.
  3. Press the "Get a new number" button, This will display a list of available numbers ending in '0', (the numbers ending 1 to 9 are reserved for your use when you want a 2nd or 3rd number, etc..)
  4. Select a number and press the "Get number" button.

This will allocate the number to your account and display a page containing the details to be entered into your IP telephony device (hardware or software).

Once you have requested a Callagenix IP telephone number, an email will automatically get sent to the account holder's email address detailing how to set your IP Ttlephone device up. The email will confirm your IP telephone number PIN, password and the IP telephony URL (may also be called gateway, registrar, domain etc.. depending on the hardware or software you use).

Note: Step 3 will need to be performed each time a new IP telephone device is set up. Each device should normally have a unique number.

Testing and activation

Once you have setup an IP telephone device, you can test it by dialling 01215 100993. You can also enter the number into your Call Divert or Group Divert services as a number to receive calls on.

From your account login you can change the CLI to be that of one of your account's live numbers and also set up outbound call recording if required.

How many VoIP IP telephones can I run?

How many VoIP phones you can operate on your connection will depend upon the size, upload speed and contention ratio of your internet connection. In addition, you also need to consider how many VoIP phones will need to run simultaneously so you can maintain your preferred call quality.

As a general rule, if you can allocate 80-100K upload speeds per telephone, you can achieve the best high quality calls without compression. this is what we recommend. It's possible for you to use more VoIP telephones over the same connection by compressing the VoIP calls using compression “codecs”, but this will make your installation more complicated and can affect call quality with intermittent “echoing” and conversation break-up.

We would suggest talking to one of our VoIP technical consultants to establish the exact specifications of the internet connection that will be required to run your VoIP service as well as your normal IT requirements.

Set-up cost

When adding IP telephony to your Callagenix account, the only upfront cost relates to the purchase of an IP telephony device. This does not need to be purchased from Callagenix and you can even use a Softphone in place of an actual phone if you like.

Callagenix does not charge for setting up your IP telephony service, or for any customer support.

Payment for our VoIP service is debited from the your account’s operating balance, so you will need to ensure you have an appropriate payment method in place to top up the operating balance as and when required.

Rental or usage cost

You can register as many IP telephony service numbers and devices as you need. Devices which are set up but not used to make outbound calls or receive inbound calls incur no charge. However, you can still use them to make IP to IP calls on your internal network at no charge. This makes VoIP a great way to keep in touch with colleagues for free, no matter where they may be.

If you use an IP telephony service to either make or receive a call that is not part of your own IP service, then a 30p usage charge is applied for that day.

In practice, this means you can register devices for home, mobile and multiple offices and you'll only be charged if they are actually used. For example, in one week you may use one office device on 5 days, your home device on 3 days, but not use a second office devive or your mobile devices at all, in which case you would only pay 5 x 30p, plus 3 x 30p for that week (total of 8 x 30p, or £2.40).

Receiving inbound calls

The cost of inbound calls will vary according to the source:

  • Calls forwarded from an Advanced service would be mainly free of charge with no per minute call cost, but would trigger a one day 30p charge for that IP telephony number.
  • Calls from another Callagenix IP Telephone would be free of charge with no per minute cost and would not trigger the daily charge for either IP number.

If you have a Callagenix number using an Advanced service diverting calls to your IP telephony number, you will only face a cost or revenue for the inbound number, for example:

Making outbound calls

You can use your IP telephony registered device to make calls the same as with a with a regular phone.

The cost of these calls is debited from your account's operating balance and will vary depending upon the number range you call. The following table outlines the costs:

Pricing summary

There are no specific IP telephony setup costs or fixed monthly rental charges (other than that for any Callagenix Advanced service you are using). The only specific IP telephone charge is a usage cost of 30p per day if an IP telephone is used to make or receive a call from a service or to a non Callagenix IP phone.

For example, unlike other Voip providers who charge a monthly fee per IP device, you could have 10 x IP phones but you only pay for the ones you use. If you don’t use it, you don’t get charged!

Once your account has been set up for Voip IP telephony you are automatically allocated 10 consecutive IP telephone numbers. Additional numbers are freely available upon request.You may have multiple IP numbers set up on your account at no cost.

Any usage and charges incurred are debited from your operating balance in the usual manner on a daily basis. They will appear in the Charge Log data file as an IP telephony charge.

What is VoIP?

VoIP stands for “Voice over Internet Protocol”, which basically means phone calls made over the internet.

Most people are already familiar with the concept, having made calls using Skype or similar services, yet they haven’t considered using VoIP for their business phone system.

Call Quality

One area of concern is call quality and reliability and that’s why it pays to choose a business-grade service, rather than a free option. Business grade calls use a bandwidth of 100K bits per second upload and download, whereas free services can compress calls down to as low as 15Kb/s (hence the reason why they are free).

This can obviously make a world of difference to call quality and reliability. A business-grade call is indistinguishable from a ‘regular’ phone call. In fact, a large proportion of all calls are already transferred over the internet at some stage, without callers ever noticing.

The technology behind VoIP is reliable and stable, so your calls will always be of the highest quality. VoIP is becoming more and more popular as business users become aware of the huge cost and flexibility advantages it offers. It is fast becoming the default way of routing phone calls and will be the standard in the very near future.

voip phoneTo make and receive VoIP calls you can use any VoIP enabled device. This is usually a VoIP phone, which works the same way as a regular phone, except it routes calls over the internet instead of down a regular phone line, although some hybrid phones do both. Another option is to use a computer (as with Skype), or you can even download an app on your mobile which allows you to make VoIP calls wherever you have a wireless connection.

Really, the only limiting factor when using VoIP is the bandwidth available to you. If you live in an area with a poor internet connection VoIP may not be the best option.

At Callagenix, one of the first things we do when somebody enquires is to check the connection speed is suitable before even considering installing a VoIP system. However, even high-quality calls don’t take up a lot of bandwidth, so anyone with a half-decent internet connection should be able to get a top quality, reliable service.

By the way, if you want to run a quick test on your existing connection you can get a reading from a few broadband speed checking sites and then take an average.

We also install a dedicated line just to handle your calls, so there is no chance of interference from other internet use, such as people watching videos or downloading / sending large files.

Just consider – at a time when most people can download and stream High Definition films without any issues, making and receiving high quality calls is usually not a problem.

How does it work?

An IP Telephone device (either a dedicated phone or a headset) together with specialised software converts your voice into a form that can be transmitted via the internet (or network) to a Callagenix service or to another person with a Callagenix IP Telephony setup or to a normal phone line.

VoIP calls between users on the same network are totally free. You can easily connect multiple sites under a single VoIP system, as well as homeworkers. It's even possible to connect users via a downloadable smartphone app so they can enjoy VoIP calls wherever they can connect to a reliable wireless network.
